Our Policies


Reservations, Payments & Card Authorization

Reservations are not guaranteed until payment has been received and confirmed.

Full payment must be received no later than 48 hours prior to the scheduled delivery date, unless otherwise agreed upon in writing.

A valid credit or debit card must remain on file for the duration of the rental.

Instead of collecting a security deposit, Magic Moments Party Rentals LLC will place a temporary authorization hold on the Renter's card. This authorization is not an actual charge, but a temporary hold placed by the card issuer.

The authorization hold may be used to cover, but is not limited to:

  • Damaged equipment
  • Missing equipment
  • Missing accessories
  • Excessive cleaning
  • Late return fees
  • Replacement parts
  • Repair costs
  • Collection costs
  • Additional delivery attempts caused by customer error
  • Any unpaid balances due under this agreement

If the equipment is returned in satisfactory condition, the authorization hold will be released. The timing of the release depends entirely on the customer's financial institution and may take several business days.

If damages or unpaid charges exceed the authorization amount, the Renter agrees to pay all remaining balances.

Returned checks or declined payments may result in additional processing fees.

Cancellations, Rescheduling & Refund Policy

Because inventory is reserved exclusively for each customer, cancellations affect availability for other customers.

Cancellations made 7 or more days before the scheduled rental date:

  • The Renter will receive a full refund of all payments made.

Cancellations made fewer than 7 days before the scheduled rental date:

  • Payments are non-refundable.

Same-day cancellations or failure to accept delivery:

  • No refund will be issued.

If severe weather makes rented equipment unsafe to use (as determined by the Company), the reservation may be rescheduled or refunded at the Company's discretion.

Weather-related refunds are not guaranteed unless approved by the Company.

Delivery & Pickup

Delivery fees are calculated based on distance from Magic Moments Party Rentals LLC.

The Renter is responsible for ensuring:

  • Someone at least 18 years old is present to receive delivery.
  • Safe and unobstructed access to the delivery location.
  • Adequate parking for the delivery vehicle.
  • Pets are secured.
  • Gates are unlocked.
  • Walkways are free from hazards.

Additional fees may be charged for:

  • Stairs
  • Long walking distances
  • Difficult terrain
  • Waiting for customer arrival
  • Multiple delivery attempts
  • Incorrect delivery information provided by the customer

At pickup, all rented items must be readily accessible.

If equipment is not available at the agreed pickup time, additional charges may apply.

Customer Responsibility

The Renter assumes full responsibility for all rented equipment during the rental period.

Responsibility includes damage or loss caused by:

  • The Renter
  • Family members
  • Guests
  • Children
  • Event attendees
  • Pets
  • Theft
  • Fire
  • Weather
  • Vandalism
  • Negligence
  • Accidental damage

Equipment may not be moved to another location without prior written approval from the Company.

Damage, Missing Items & Repairs

The Renter agrees to immediately notify the Company if any rented equipment becomes damaged or stops functioning properly.

The Renter shall be financially responsible for repair or replacement costs resulting from:

  • Broken equipment
  • Missing equipment
  • Lost accessories
  • Torn dresses
  • Burn marks
  • Water damage
  • Permanent stains
  • Missing power cords
  • Missing instruction manuals
  • Missing game pieces

Replacement cost shall be determined by the Company's current replacement value.

Equipment Use & Safety

All rented equipment must be used only for its intended purpose and according to any instructions provided by the Company.

The Renter agrees that:

  • Equipment shall be used in a safe and responsible manner.
  • Adult supervision is required whenever children are using or interacting with rented equipment.
  • Princess dresses shall not be altered, cut, pinned, glued, dyed, or permanently modified.
  • Dresses should not be worn during activities that are likely to cause excessive staining, tearing, or damage.
  • Yard games shall be used only as intended and on appropriate surfaces.
  • Rental items may not be moved to another location without prior written approval from the Company.

The Company is not responsible for injuries or damages resulting from improper use, misuse, negligence, failure to follow instructions, or lack of adult supervision.
